How NexusPoint Built an AI RFP Response Engine That Cuts Bid Prep From Days to Minutes

Challenge
Winning a government or enterprise contract starts with a 50-100 page RFP document. And every page is a landmine one missed mandatory requirement means disqualification, no matter how strong the rest of the proposal is. The default approach is to assign a bid manager to read, annotate, and manually extract every requirement, deadline, and evaluation criterion. Then they cross-reference the company's capability library. Then they draft responses section by section. Then they review for compliance. A 15-80 page RFP takes 2-4 working days to first draft, and 60-80% of that time is manual document drudgery, not strategic writing. Four specific problems: Volume and velocity. A single RFP can contain 50-200 individual requirements across technical, financial, compliance, and legal categories. Missing any one mandatory requirement means a disqualification, no partial credit. Scattered evidence. The company's capability library, past projects, certifications, team profiles, financial records , live across PDFs, spreadsheets, and email threads. Matching requirements to evidence is a manual cross-reference exercise that takes hours. Evaluation black box. Every RFP has a weighted scoring matrix: compliance (30%), technical (40%), financial (15%), and past performance (15%). Bid teams have no systematic way to calculate their win probability before choosing which bids to pursue. No-citation hallucinations. LLMs can draft proposal text fast, but they also make up evidence. In a compliance-gated procurement process, a fabricated citation is worse than no draft at all.
Goal
BidSense is a full-stack AI pipeline: upload an RFP, RFQ, or tender in PDF or DOCX format, and get back a structured workspace with extracted requirements, evidence-matched compliance results, a trained XGBoost win-probability model with SHAP explanations, and a section-by-section proposal draft where every claim cites a real capability record. After a single upload and pipeline run: Every requirement is extracted, categorized, and flagged as mandatory or optional Compliance status per requirement: PASS, PARTIAL, or GAP, each with cited evidence from the company's capability library A GO / CONDITIONAL GO / NO-GO decision with modeled win probability and SHAP-ranked factors A section-by-section proposal draft with inline citations that resolve to real capability IDs A downloadable proposal DOCX and compliance matrix CSV One upload. Result
BidSense is a 4-stage AI pipeline that turns a raw RFP into a reviewed, compliance-checked, scored, and partially drafted proposal response. NexusPoint built it for a hackathon, but the architecture solves a problem that every B2G, B2B enterprise, and consulting firm faces. The architecture, structured LLM extraction, RAG matching against a known corpus, a trained win-probability model with SHAP explainability, and citation-grounded drafting with a hard no-hallucination contract, is not specific to RFP responses.
